Privacy Policy

This Privacy Policy explains how Journey DNA LLC (“Journey DNA,” “we,” “us,” or “our”), a New Jersey limited liability company, collects, uses, and shares information in connection with the PoolChecker website at poolchecker.com, the PoolChecker Pro application (the “Service”), and related products and services. By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.
1. Who This Policy Covers
The Service is used by (a) pool service businesses and their team members who maintain an account (“Business Users”), (b) the customers of those businesses (“Homeowners”) whose information a Business User enters or who interact with a customer portal, payment link, lead form, or notifications, and (c) visitors to poolchecker.com. For information that a Business User submits or collects about their own customers and team members, the Business User is the party that determines how that information is used, and we process it on their behalf as described in Section 10.
2. Information We Collect
Information you provide:
- Account and profile details (name, email address, phone number, business name, and role), and a record of your acceptance of our Terms of Use (date and version).
- Customer and property records a Business User enters (names, service addresses, contact details, gate codes, pool and equipment details, service notes, and photos or videos uploaded).
- Team and pay records a Business User enters about its team members (hours worked, timesheets, pay rates, and paid-time-off balances) for its own recordkeeping.
- Lead information submitted through a business's hosted lead-capture form, together with the consent language shown and, for spam prevention, a non-reversible hashed form of the submitter's IP address.
- Subscription billing information processed through our payment provider (we do not store full card numbers).
- Communications you send to us, including support requests and feedback.
Information collected automatically:
- Usage and device data such as IP address, browser type, pages viewed, and timestamps.
- Approximate or precise location data from field technicians' devices, collected only while a technician is on an active route and during configured business hours, to support route tracking. This can be turned off by the business, and location pings are automatically deleted after approximately 30 days.
- Cookies and similar technologies used to keep you signed in and to operate the Service (see Section 7).
3. How We Use Information
- Provide, maintain, secure, and improve the Service.
- Optimize routes, track service history, generate quotes, invoices, and reports, and send notifications you or a Business User configure.
- Process subscription payments and, where a Business User enables it, facilitate payments from Homeowners to that business (see Section 5).
- Communicate with you about your account, security, and updates.
- Detect, prevent, and respond to fraud, abuse, and security incidents.
- Comply with legal obligations, document required consents, and enforce our agreements.
4. Text Messages (SMS)
With the configuration set by a Business User, the Service may send SMS text messages to Homeowners (for example, “on my way” arrival notices, service confirmations, review requests, payment links, and appointment changes). Message frequency varies. Message and data rates may apply. A recipient can opt out at any time by replying STOP, and can reply HELP for help. Opting out stops further automated messages to that recipient. We retain records of messaging consent and opt-outs as compliance proof. We do not sell SMS opt-in data, and consent to receive messages is not a condition of any purchase.
5. Homeowner Payments
When a Business User collects payment from a Homeowner through the Service, the card or bank details are captured directly by Stripe, our payment processor, on the business's connected account — we never receive or store full card or bank account numbers. We store transaction records (amounts, status, invoice references) and limited payment-method details for display (such as card brand and last four digits). Saved payment methods, bank-debit authorizations, and receipts are handled through Stripe. Homeowners with questions about a charge should contact their pool service company first.
6. How We Share Information
We do not sell your personal information. We share information only as follows:
- Service providers (subprocessors): vendors who help us run the Service, including payment processing (Stripe), text messaging (ClickSend), email delivery (Resend), file storage (Backblaze B2), mapping, routing, and address geocoding (Mapbox and OpenStreetMap/Nominatim — service addresses are sent to resolve map coordinates and compute drive times), and hosting infrastructure. These providers may only use the information to perform services for us.
- Integrations you connect: if a Business User connects an integration such as QuickBooks Online, we transmit the relevant customer, invoice, and payment data to that provider as configured. Integration credentials are stored encrypted.
- Between Business Users and their team: data within a workspace is accessible to that workspace's authorized members according to their role.
- Legal and safety: when required by law, legal process, or to protect the rights, property, or safety of Journey DNA, our users, or others.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
7. Cookies and Tracking
We use strictly necessary cookies to authenticate sessions and operate the Service, and limited functional cookies to remember preferences. You can control cookies through your browser settings; disabling necessary cookies may prevent the Service from functioning.
8. Data Retention
- We retain information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements.
- Technician GPS location pings are automatically deleted after approximately 30 days.
- Service and chemistry history is kept as a property-based record: it is attached to the physical pool and may be retained within the business's workspace as that property's history even after a particular customer relationship ends.
- Records of messaging consent, opt-outs, and Terms acceptance are retained as compliance proof.
- Business Users can delete workspace business data through the in-app “Delete My Data” tools, and may request deletion of their account by contacting us. Some records may be retained in backups or as required by law for a limited period after deletion.
9. Data Security
We use technical and organizational measures designed to protect information, including encryption in transit, encrypted storage of integration credentials, access controls, and tenant isolation. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your Choices and Rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, or to opt out of certain processing. To exercise these rights, contact us using the details below. We will respond consistent with applicable law. If your information was provided to us by a Business User — for example, you are a Homeowner whose pool company uses the Service, or a technician whose employer tracks work hours or location through the Service — please direct your request to that business; we will assist them as a processor acting on their instructions.
11. Deleting Your PoolChecker Pro Account
Team members (technicians and managers) can delete their PoolChecker Pro account at any time, in the app or web app, under My Account → Delete Account. Deletion is confirmed with a code emailed to the account's address.
When an account is deleted, the sign-in is permanently destroyed and personal details — name, email address, phone number, and location history — are removed, including from historical notes and photos, which are re-attributed to an anonymous “Former Technician” label. Business records of work performed (service visits, timesheets, and similar operational records) belong to the company that employed the account holder and are retained by that company in anonymized form, or as required by law. Some residual copies may persist in backups for a limited period.
Company owners cannot delete their account while they own a company, because the company's data and billing depend on it. An owner can first transfer ownership to another team member, or use Settings → Your Data → Delete My Data to delete the company's data, after which their account qualifies for deletion as above. You can also request deletion at any time by contacting us at the address in Section 16.
12. Children's Privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.
13. Third-Party Links and Services
The Service may link to or integrate with third-party websites and services that have their own privacy practices. We are not responsible for those third parties, and we encourage you to review their policies.
14. United States Processing
The Service is operated in the United States and intended for users in the United States. If you access it from outside the United States, you understand your information will be processed in the United States.
15. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new “Last updated” date and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
